Job Summary

We are seeking an experienced administrative assistant who will support a Customer Success team to meet customer needs as well as achieve departmental and company-wide goals. In this fast-paced role, you will provide clients with the necessary information and materials tailored to their specific needs. Additionally, you will coordinate departmental activities, including organizing customer health fairs, and assist with special projects as required.

Primary Responsibilities

  • Provide comprehensive administrative support to the Customer Success Team
  • Act as liaison between Customer Success, customers, and other internal departments when handling requests and inquiries
  • Coordinate, schedule, and organize meetings and arrange travel accommodations and logistics, as needed
  • Submit and reconcile expense reports accurately and in a timely manner
  • Prepare agendas and take detailed, accurate meeting minutes for standing and ad-hoc meetings
  • Draft, edit, and distribute emails, correspondence, memos, letters, and other communications
  • Create and support the development of data visuals, presentations, and communication materials as requested
  • Print, prepare, and organize materials for meetings and presentations
  • Deliver clear, concise, and professional communications across teams
  • Listen attentively during meetings and discussions and ask clarifying questions to ensure accurate documentation
  • Perform data entry and maintain records using Microsoft Excel, Microsoft OneNote, and other business applications
  • Coordinate Health Fairs for our customers across the United States
  • Investigate and resolve customer concerns quickly and effectively in order to ensure client satisfaction
  • Coordinate customer materials requests & efficiently control all inventory of materials
  • Establish and build strong working relationships with other team members
  • Responsible for filing, data entry, shipping, and special projects as requested
  • Performs other duties as assigned.

Job Qualifications

  • 2+ years of administrative work experience required
  • 2+ years of relevant work experience supporting a Customer Success/Account Management Team preferred.
  • High School degree required, bachelor’s degree in in related field, preferred.
  • Strong proficiency in Microsoft Excel, Word, and Power Point
  • Self-starter with ability to multi-task and work autonomously
  • Excellent organizational and project management skills
  • Effective interpersonal and communication skills

 

Other Requirements

  • Consistent and reliable high-speed internet and workspace free from distraction, disruption, or noise is required
  • Ability to be present on camera during work-related trainings, meetings, and/or events
  • Must be able to sit or stand at a desk for prolonged periods while working on a computer
  • Must be capable and willing to lift and move items up to 50lbs.

  • The hourly range for this position is $17/hr. - 19/hr. USD. The base hourly range represents the anticipated low end and high end of the range for this position. The actual compensation will be influenced by a wide range of factors including, but not limited to previous experience, education, pay market/geography, and scheduled hours.
